What Should an STR Owner Statement Include?
An effective STR owner statement explains booking revenue, fees, expenses, reserves, and cash movement. Learn what property managers should include each month.
The definition
What is an STR owner statement?
An STR owner statement is a periodic report that explains a property owner’s financial activity and resulting balance. It normally summarizes reservation revenue, adjustments, management fees, property expenses, taxes or deposits held where applicable, owner contributions or draws, reserves, and the amount distributed or carried forward.
The statement is a communication document, but it should also agree with the underlying owner ledger. It is not a replacement for complete accounting records or for the reports an owner may need for tax preparation.

How to make STR owner statements useful and trustworthy
Lead with a clear period and opening balance, then show activity in a sequence an owner can follow. Revenue should be traceable to reservation or channel reporting, and expenses should include meaningful vendor and property descriptions. Grouping can improve readability, but owners should be able to access transaction-level detail when needed.
Separate cash movement from performance. A payout received this month may relate to a prior stay, while an owner distribution may be reduced by a reserve or an unpaid bill. Showing beginning cash, receipts, disbursements, reserve changes, and ending cash alongside an income-and-expense view helps prevent the common assumption that profit and distributable cash are the same thing.
Before releasing statements, run a control review: reconcile the owner ledger, confirm management fees, check for negative balances, verify large or unusual expenses, and tie the proposed distribution to available funds. Add short notes for exceptions rather than forcing the owner to infer what happened. Consistent statements reduce questions and make the manager’s financial stewardship visible.
