The definition

What does it mean to reconcile an owner statement?

Reconciling an owner statement means verifying that the statement’s opening balance, activity, ending balance, and distribution agree with the owner’s detailed ledger and the supporting trust-account records. Revenue and expenses should trace to source reports, while cash carried forward should remain part of the client liability total.

This is different from formatting or reviewing the statement for presentation. Reconciliation is an accounting control that tests whether the report is complete, accurate, and supported before it reaches the owner.

A reliable owner-statement reconciliation for STR managers

Start with the prior statement’s ending balance and confirm it equals the current owner ledger’s beginning balance. Tie booking activity to the PMS and platform records, then match vendor bills, refunds, chargebacks, taxes, management fees, and owner contributions to the ledger. Cutoff matters: apply one rule for stays, payouts, and expenses around month end.

Next, verify the ending owner liability. The sum of eligible owner balances should feed the trust-account trial balance used in the broader reconciliation. Review negative owners separately because one owner’s funds should not quietly cover another owner’s shortage. Confirm that reserves and held amounts are visible rather than buried in an unexplained net figure.

Finally, calculate the proposed distribution from cleared funds and the agreed reserve policy. Route unusual adjustments and manual entries for approval, lock the period after release, and preserve the statement with its support. This creates a clean line from reservation activity to owner communication to the cash that remains in trust.

Practical checklist

  • Roll forward from the prior statement’s ending balance
  • Tie PMS, platform, vendor, fee, and adjustment activity
  • Review negative balances and reserves separately
  • Approve distributions only from reconciled, available funds
