Internal Controls for STR Property Managers
Practical internal controls for STR property managers covering bank access, approvals, vendor changes, reconciliations, owner reporting, and system permissions.
The definition
What are internal controls in property management?
Internal controls are the policies, assignments, approvals, access restrictions, reconciliations, and reviews that help a company safeguard funds and produce reliable information. They are designed to prevent errors where possible and detect them quickly when prevention is not practical.
A small property management company may not have enough people for perfect separation of duties. It can still reduce risk through owner review, bank alerts, limited permissions, documented approvals, and independent review of high-risk transactions.
For STR operators
The internal controls an STR property manager should prioritize
Start with cash and identity changes. Use named user accounts and multifactor authentication, limit who can add vendors or change banking instructions, and require secondary verification for owner or vendor bank changes. Separate payment initiation from approval when possible, set transaction limits, and review bank alerts outside the accounting workflow.
Protect the close. Reconciliations should be prepared promptly and reviewed by someone with enough authority to investigate differences. Manual journal entries, negative owner balances, refunds, chargebacks, trust-to-operating transfers, and changes to fee rules deserve focused review. System access should match job duties and be removed immediately when roles change.
Make controls observable. Keep approval evidence, review exception reports, document who owns each control and how often it occurs, and test a sample periodically. As the portfolio grows, revisit thresholds and duties. A control that worked for twenty properties may not be enough for two hundred, especially when new channels, payment processors, and team members expand the number of ways money can move.
Practical checklist
- Secure bank, PMS, and accounting access by named user
- Verify vendor and owner banking changes independently
- Review high-risk entries, transfers, and negative balances
- Assign, evidence, and periodically test every key control
