The definition

What is a PMS-to-accounting integration?

A PMS-to-accounting integration transfers or summarizes operational data from a property management system into accounting records. It may use an application connection, middleware, scheduled export, or controlled manual import.

A successful integration is more than a data sync. It defines which system owns each field, how transactions are translated, when they post, how updates are handled, and how the resulting balances are reconciled.

For STR operators

What STR property managers need from a PMS accounting connection

Design the accounting outcome before selecting the connector. List the entries and reports you need: reservation revenue, owner liabilities, taxes, fees, processor clearing, refunds, chargebacks, vendor expenses, and property dimensions. Decide whether detail will post by reservation, payout, day, or period, and confirm that the chosen level still supports owner reporting and audit trails.

Create a mapping register for every PMS code and accounting destination. Include effective dates and the treatment of edits, cancellations, duplicate records, and historical imports. A connector should reject or quarantine unmapped data instead of silently posting it to a generic account. Access should follow least privilege, with logs for changes and failed syncs.

Reconciliation proves the connection works. Compare PMS activity to integration control totals, accounting entries, processor payouts, bank deposits, and owner ledgers. Run a parallel test before launch and repeat control checks after software updates or mapping changes. Automation saves time only when exceptions are visible and someone owns their resolution.

Practical checklist

  • Define the required accounting output first
  • Assign one source of truth to every field
  • Maintain versioned mappings and visible exception queues
  • Reconcile control totals from PMS through bank and owner ledgers
